Administrative Assistant
Job Summary: The Administrative Assistant will perform a variety of clerical and administrative tasks, with the highest priority focusing on our Sales Department’s bonus & commission structure. This position will also support departments throughout the company as needed, producing monthly reports and providing general support to managers.
Primary Duties:
- Support the sales department, sales managers and other managers throughout the company.
- Provide payroll with monthly and quarterly sales commissions and bonuses.
- Produce monthly sales reports.
- Answer and transfer phone calls, screening when necessary.
- Welcomes and directs visitors and clients.
- Maintains filing systems as assigned.
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- Responds to and resolves administrative inquiries and questions.
- Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
- Prepares agendas and schedules for meetings.
- Records and distributes minutes or other records for meetings.
- Act as back-up to the Executive Assistant.
- Performs other related duties as assigned.

Skills & Qualifications
- High school diploma or equivalent required
- 3 to 5 years of clerical/administrative experience
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Extremely proficient with Microsoft Office, specifically Excel, with the ability to learn new or updated software.
Job Relationships:
- Reports directly to the Senior Executive Assistant
- Works effectively with all levels of management, general office staff and plant operations
- Acts as a liaison with all departments as well as external entities
